Employees Are Turning to AI for HR Answers: What This Means for Leadership

An employee has a question about the company’s policy on parental leave. Rather than looking in the company handbook or sending an email to the HR employee, type the question in and get the answer. In another scenario, an individual is unsure about the company’s reimbursement policy and asks the AI to summarize the policy. The response feels fast and available at any time.

Such scenes are now common in the workplace. Employees are using AI to get answers to their questions about HR. It is more than a new device in the workplace. It reflects a shift in how employees seek clarity and support.

This article talks about the shift in employee communication and how it affects leadership.

Why Employees Are Asking AI Instead of HR

These factors explain why AI is becoming a common source for HR answers

  1. SimplifyingComplex HRDocuments

Most of the HR policies are long and written in technical terms. The employees might find it easier to ask the AI to explain the policies rather than read the document.

For example, the employee does not want to read long documents about the policy. Instead, the employee asks the AI to explain the policy.

  1. Comfort in Asking Sensitive Questions

There are some questions that an employee may find uncomfortable asking. Instead, the employee may find it easier to ask the AI questions.

Example: An employee unsure about mental health leave or workplace complaints may ask AI first before approaching HR.

  1. GrowingFamiliarity with AI Tools

The employees are already familiar with the AI tools they use in their day-to-day activities, such as sending emails or summarizing the document. So, they use the same for HR answers.

Example: Someone using AI to draft presentations might also ask about expense claim procedures.

  1. Ease ofConversational Search

AI enables employees to ask questions instead of browsing through portals and policy documents. This is considered easier and more intuitive.

Example: Instead of searching an HR portal for “leave policy section,” an employee simply asks AI, “Can I carry forward unused leave?”

The AI Workplace Advisor: How Leadership Should Adapt

As AI becomes a normal source of information, leadership must adapt thoughtfully.

  1. Make HR Information Easier to Access

The fact that the employees are accessing information from AI means that the HR information is probably hard to understand or access. The leadership needs to ensure that the information is easily understandable.

The organization, instead of giving the employees lengthy policies, can provide guides and FAQs for HR information.

  1. Using AI as a Support Tool for HR

The organization should consider using AI as a support tool for the HR, rather than considering AI as a replacement for the HR.

For instance, AI could support the HR in answering employee queries, while the HR handles other issues such as conflict resolution.

  1. Train Managers and HR to Work With AI

The organization’s leadership can train HR and managers to understand how AI works and how the organization’s employees use AI.

Example: HR can test common employee questions with AI to see what answers employees might receive.

  1. Focus On Trust and Human Connection

Even if the employee uses the AI as an adviser at the workplace, the employee still needs support from the HR. Therefore, the leadership should make HR accessible and trustworthy for their employees.

For instance, the employee may use the AI system to gain information about the organization’s policy yet still seek the HR for issues concerning the workplace.

AI for HR Questions: Challenges for Leadership

Here are the challenges which can arise for leadership as AI becomes a source for HR answers.

  1. Challenge: Inaccurate Answers

If the employee asks the AI about the HR policies, the information provided does not have to be accurate concerning the actual policies of the company. The actual policies might be hard to understand by the AI.

Solution: It is important for the HR policies to be easily available for employees. In addition, the leadership must ensure that the employees seek the HR on important matters.

Example: An employee asks the AI about the eligibility for parental leave. However, the information given by the AI is not correct in relation to the actual policies of the organization.

  1. Challenge: Lack of Governance Around AI Use

Most organizations have not established the appropriate use of AI for employees.

Solution: Leadership should create policies for responsible AI use in HR context. Employees should know when AI can help and where HR should be consulted.

Example: Organization includes the usage of AI in company policies.

  1. Challenge: Misinterpretation of HR Policies

Even when AI is giving information, the way the policies are presented may lack the context. The employees may not be aware of the policies and the conditions of eligibility.

Solution: HR must give the employees information in the form of examples and answers to frequently asked questions.

For example, instead of giving the policy on reimbursement policy, HR can give a simple guide on the steps of policy.

Conclusion

The leadership of the organization plays an important role in defining the direction in which the AI will operate in the HR system. By helping to clear up the policies and set standards for the use of AI, the organization can use AI to improve the experience, rather than diminish it.
